Front Desk Receptionist

The primary function of this position is to receive incoming inquiries to the facility and direct telephone calls and visitors to the appropriate parties. This position will be responsible for ensuring services are provided in accordance with all federal, state and local standards, guidelines and regulations which govern the facility, and, as directed by the Executive Director is responsible for representing the facility in a positive manner, utilizing good interpersonal communication skills.

  • Answers telephone and routes calls promptly, not leaving callers on "hold" and unattended for longer than necessary.

  • Greets all visitors courteously, determines their needs, and directs them to the proper persons.

  • Receives, sorts, and promptly distributes mail to facility staff and residents each day.

  • Observes residents who are seated in the lobby area to identify assistance needs.

  • Utilizes the overhead paging system in accordance with facility policy.

  •  Utilizes all facility-directed means of communication, i.e. hand-held walkie-talkies, paging systems, telephones, etc. as a means of locating staff and residents when requested.

  • Responds according to facility policy when alarms and emergency situations arise. Communicates utilizing the appropriate means relative to the situation.

  • Notifies appropriate personnel when unsafe conditions or situations occur.

  • Performs typing, dictation, and filing, as directed.

  • Operates multi-line telephone system.

  • Works shift assignments as necessary and/or directed.

  • Assesses supplies and equipment needs and assists in assuring an adequate amount of inventory is maintained.

  • Utilizes ancillary support personnel, when appropriate and available.

  • Follows policies, procedures, and practices to protect self, facility staff, residents, and visitors’ safety and well-being.

  • Adheres to and upholds all regulations and recommendations of the Department of Health, the Centers for Medicare and Medicaid Services, the Department of Public Welfare, etc.


  • Assumes all other duties as assigned.

  • Maintains a professional, customer-oriented demeanor at all times.

  • Works within a team concept and thus cooperative with the co-workers and peers.

  • Maintains confidentiality of information.

  • Represents the facility in a positive manner.


Receives supervision and instruction from the Executive Director or his/her designee. Reports directly to the Executive Director.



Requires high school diploma or equivalent with additional education, training, and course work in secretarial skills, computer operations, and interpersonal communication skills.

  • Must possess ability to interact effectively with residents and their families and assist in providing emotional and social support.

  • Must possess ability to evaluate and interpret information.

  • Must possess ability to properly record, chart and document necessary information as required by established policies/procedures.

  • Must possess knowledge of federal, state, county and nursing home policies and procedures as they relate to electrical systems of the campus.

  • Must possess knowledge of infection control and universal precautions and the ability to apply same to essential job duties.

  • Must possess excellent organizational skills and the ability to accomplish several duties and meet schedule of various departments.

  • Must possess knowledge of and comply Resident Rights, including but not limited to the treatment of residents, dignity of residents and personal and property rights of residents.

  • Must possess ability to calmly communicate with residents and staff under stress.


  • Must meet the general health requirements set forth by the policies of the facility with a medical and physical examination.

  • Must possess sight and hearing senses or use prosthetics, which will enable these senses to function adequately so that the requirements of the position can be fully met.

  • Must be able to walk, sit for extended periods of time, bend, lift and carry up to fifty (50) pounds and occasionally push carts weighing up to one hundred (100) pounds.

  • Required to reach, handle and manipulate equipment frequently.

  • Moves intermittently throughout the workday.

  • Works in and around all areas of the facility.

  • Is subject to frequent interruptions and must then adjust schedule accordingly.

  • Is subject to falls, burns from equipment, reactions from smoke, disinfectants and other air contaminants.

  • May be subject to handling of and exposure to hazardous chemicals.

  • Is subject to exposure to infectious waste, blood and body fluids, diseases, conditions, etc., such as TB, AIDS, and Hepatitis B viruses.

  • May be subject to emotionally distraught residents, family members, visitors, personnel, etc. and must possess the ability to cope with the stresses of the environment.
